I.Title Administrative Aide I/Child Development

 

II.Definition

Under administrative direction performs a wide variety of complex and responsible public relations, technical, and clerical tasks concerning the child development programs; assists managers by relieving them of routine administrative and clerical detail; supervises other clerical personnel; and performs related work consistent with job description.

 

III.Examples of Duties

Performs a wide variety of secretarial and clerical duties for the Child Development Office including typing, maintaining audit files, compilation of reports and applications; composes either independently or from written directions correspondence or memoranda when such material does not involve questions of policy; answers questions from parents, community, administrators, and staff regarding the Child Development program or refers person to another source of information; checks reports and applications for accuracy, completeness and compliance with established standards and requirements; supervises clerical assistants; assists in processing personnel request forms and budget revisions; provides information and assistance to private agencies; and assists with program visitations when required.

 

IV. Distinguishing Characteristics

This position is characterized by the small amount of direction received; the coordination and direction of other classified personnel; and the communication required with other district personnel, parents, community representatives, and private agencies plus the necessity on occasion to act as the District liaison with private child care organizations.

 

V.Employment Standards

A. Knowledge of: Certification procedures for parents and families; Modern clerical and accounting office methods and practices, including effective filing systems, telephone techniques, letter and report writing; Correct English usage, spelling, grammar, and punctuation; Modern business methods and preparation of standard District forms; Use and interpretation of common data processing reports; District organization, policies and rules and Child Development program laws, rules, and regulations.

 

B.Ability to: Learn and interpret specific rules, regulations and policies and apply them with good judgment; Perform responsible and difficult clerical work with accuracy and speed; Deal effectively with a wide variety of personalities and situations requiring diplomacy, friendliness, poise and firmness; Analyze situations and adopt an effective course of action; Carry out verbal and written directions independently;Relate to a wide variety of community groups including minority groups; Make arithmetical calculations quickly and accurately; Type at a rate of 55 words per minute from a clear copy; Promote a positive working climate and maintain high staff morale; Meet the public tactfully and courteously and establish and maintain cooperative and effective working relationships.

 

C.Education/Training/Experience: Completion of the 12th grade or equivalent. Two years of experience in increasingly difficult clerical work or any combination of education, experience, and training which meets or exceeds standards of knowledge, skills, and abilities listed above.

 

D.Licenses/Certificates: Valid California Driver's License and use of a safe, dependable automobile.

 

VI. Specific Qualifications Must pass District clerical test.
