II.Definition
Under general supervision, performs a wide variety of complex and responsible clerical work of more than average difficulty; assists Superintendent's Office Personnel with tasks assigned by the Administrative Assistant to the Superintendent.
III.Examples of Duties
Responds to requests for information regarding School Boundaries from District Staff and the General Public, directs phone calls seeking various information to the proper Departments, maintains the Superintendent's Education Code and Title 5, Administrative Regulations; coordinates and issues the Superintendent's monthly calendar; coordinates distribution of Superintendent's Committees and Board of Education Agendas and Notices, Schedules Meeting Rooms, responds to routine and non-routine inquiries and other activities as assigned by the Administrative Assistant to the Superintendent.Persons in this classification may perform any of the following duties pertinent to work location or department. Maintains and enters data through the use of computer terminals; type letters, memorandum, and other materials from oral direction, rough drafts or notes; compile statistical data and make mathematical calculations; prepare general financial data; keep time and material records; tabulate data for reports; answer inquires by phone or in person concerning school or department, programs, schedules and activities; operate office equipment; receive sort and distribute mail; sort and file materials.
IV.Distinguishing Characteristics
The execution of Secretarial and Clerical duties assigned to this position requires a thorough knowledge of School District Policies,Boundaries, Rules and Regulations pertinent to the Board or Superintendent's operation and the application of this knowledge in responding to questions directed to the Board or Superintendent's Office. Duties are assigned with only general instructions; independently completes a variety of difficult clerical tasks; the results expected are usually reviewed on completion of the assigned tasks. The position requires a great deal of public contact, including both personal and telephone.Positions in this class perform complex tasks such as preparing Board Agenda packages while being interrupted by requests for information from the public. A courteous and helpful attitude must be maintained towards the public while working under deadline pressures on assigned tasks.
V.Employment Standards
A. Knowledge of: Modern office methods and practices, including filing systems, receptionist /telephone techniques, and letter and report writing; Correct English usage, spelling, grammar and punctuation;Common office machines and some skill in their operation; Receptionist and telephone techniques.
B. Ability to: Learn and interpret specific rules, laws, and polices and apply them with good judgment in a variety of procedural situations; Perform responsible and difficult clerical work with accuracy and speed; Deal effectively with a wide variety of personalities and situations requiring diplomacy, friendliness, poise, and firmness; Analyze situations and adopt an effective course of action; Carry out verbal and written directions independently; Apply computer or typing skills as necessary; Cooperative working relationships.
C.Education/Training/Experience: Completion of the 12th grade or equivalent and two years of broad and varied experience in telephone receptionist and clerical work. Experience and training which meets or exceeds the standards of knowledge, skills and abilities list above.
D.Licenses/Certificates: Must pass District Clerical Test/must take typing test. Type at 35 WPM from clear copy, preferred but not required.
