I. Title Office Technician II

(Operations/Grounds, Maintenance, Food Services, Transportation)

 

II. Definition

 

Under general supervision performs technical complex secretarial duties; relieves the Director (Administrator) of a variety of administrative details; may be responsible for the budgeting, inventory, equipment maintenance and manpower scheduling; may be responsible for computerized work order system; and does related duties consistent with the job description.

 

III. Examples of Duties

 

Serves as liaison between the Director (Administrator) and other District personnel, independently composes routine correspondence; receives, opens and screens incoming mail and routes to appropriate staff; sets up appointments and meetings, receives complaints and resolves them through knowledge, judgment and interpretation of policies and regulations; types a variety of correspondence, memoranda, reports including that of a confidential natures; records and maintains department personnel records; arranges for substitutes; supervises and trains other clerical personnel; recommends and/or develops improved office procedures; orders and maintains office supplies. May make travel arrangements and process trip reimbursement forms; maintain District fleet list and list of personnel who operate District vehicles; complete all vehicle accident reports; maintain department manpower list; maintain Department budget; maintain list of mileage and night differential pay; monitor invoices and prepare purchase orders for payment; set up appointments for job interviews, quarterly testing, and physical examinations; maintain time sheets and absence reports; type bid specifications; answer phone calls and refer callers to appropriate staff; maintain and operate computerized department programs.

 

IV. Distinguishing Characteristics:

 

May need thorough knowledge of the District bidding and work-order systems.

 

V. Employment Standards

 

A. Knowledge of:

 

  • Data processing functions; (related to work orders)
  • Modem office procedures, practices, and operation;
  • Correct English usage, spelling, grammar, punctuation and vocabulary;
  • Business English and methods of preparing correspondence and reports;
  • Working knowledge of District organization, policies and rules;
  • Transportation Office work-order system;
  • Education Code provisions, District and Maintenance Office bidding policies and procedures;
  • Maintenance Office work-order system.

 

B. Ability to:

 

  • Perform difficult and complex secretarial tasks with independence and skill;
  • Analyze difficult and/or sensitive situations and adopt an effective course of action;
  • Learn and interpret specific department rules and polices and apply them with good judgment in a variety of procedural situations;
  • Make mathematical calculation with speed and accuracy;
  • Compile and maintain accurate and complete records and reports;
  • Meet the public tactfully and courteously and to establish and maintain cooperative and effective working relationships;
  • Understand and carry out verbal and written instructions;
  • Type at a speed of not less than 55 words per minute from clear legible copy;
  • Operate a computer terminal using necessary software;
  • Sort and verify statistical and other data,
  • Use a 10 key calculator;
  • Carry out oral and written directions independently;
  • Serve as a resource person to other District personnel concerned with the fleet maintenance work order data files;
  • Work as a resource person to other District personnel concerned with the maintenance work-order data files;
  • Operate the mobile base station radio.

     

C. Education/Training/Experience:

 

  • Completion of the 12th grade or equivalent, or any combination of education, experience and training which meets or exceeds the standards of knowledge, skills and abilities listed above.
  • Three years of varied experience in responsible secretarial and clerical positions.

 

D. Licenses/Certificates:

VI. Specific Qualifications

 

Passage of District Clerical Test and 55 WPM typing test.
