II.Definition
Under the supervision of the Public Information Officer, the program secretary performs technical and complex secretarial and clerical duties in support of maintaining excellent communications between district, staff, and community through publications, publicity, meeting, staff development, and planning.
III.Examples of Duties
The program secretary applies desktop publishing, graphics, and other software applications for the completion of district publications and other communications. The employee completes letters, reports, summaries, and correspondence needed to acquire the information from schools and departments for use in publications, news releases, events, reports, and community meetings. The secretary shall be responsible for researching data necessary for project reports and must have a broad knowledge of district schools, programs, and departmental activities. The program secretary must be able to apply information and data when working with the school sites or member of the public. The employee must have the ability to use several types of software to create with accuracy complex and attractive brochures, communications, records, and correspondence.
IV.Distinguishing Characteristics
The employee must be significantly skilled on the application of computer software as well as capable of accepting responsibility for the administrative details of events, activities, or projects assigned by the Public Information Office.
V.Employment Standards
A.Knowledge of: Modern office procedures, policies, and operations; Computer applications for desktop publishing, graphics, and word processing; English usage, vocabulary, grammar; Business English and methods of preparing correspondence and reports; Working knowledge of District organization, policies, and rules; Working knowledge of graphic design.
B.Ability to: Communicate orally and in written form; Perform difficult and responsible clerical work with speed and accuracy; Establish and maintain cooperative working relationships as a team member with administrators, professional staff, teachers, and other personnel;m Work with the public and with school sites tactfully and courteously; Take notes and transcribe accurately; Work independently within clear guidelines and use good judgment.
C.Education/Training/Experience: Completion of 12th grade or equivalent; Three years of previous experience or training in a responsible secretarial and clerical position; Pass the Clerical test; Pass the computer test for "Desktop Publishing."

VI.Specific Qualifications
The Community/Media Relations Secretary is a unique position because of the need to produce exemplary documents and communications which represent the school district to the community. The secretary will interact in a professional manner with a diverse public: television and print journalists on deadline; schools in crisis; researchers; government officials as well as internal staff of teachers, principals, and district employees. The style, format, and final appearance of publications, presentations, and flyers are dependant on the use of technical computer skills by the secretary.
