II. Definition

 

The Student Services Technician I is responsible for a wide variety of tasks associated with the maintenance, copying, and disposition of pupil records. The position requires the ability to work independently with little direct supervision in analyzing student records and preparing them for eventual disposition in either the permanent record card file or in the expendable record file; and the ability to sort out materials selectively that are appropriate or inappropriate for forwarding to future school districts.

 

III. Examples of Duties

 

Compile appropriate student data for dissemination to schools within the San Jose Unified School District and outside of the District; compile permanent record files for all inactive students; facilitate the dissemination of information and resources to assist staff and parents.

A. Knowledge of:

  • The Right to Privacy Act and confidentiality of records;
  • Pupil rights;
  • The basic principles of cumulative records and record keeping requirements in California school districts;
  • The School District and resources available to assist staff and parents;
  • The alphabet and all its variants for the alphabetical system of record keeping;
  • The requirements for dissemination of records outside of the School District;
  • The workings of a large department;
  • School District attendance boundaries;
  • Inter and intra-district transfer agreements and their impact upon the transfer of school records;
  • Special Education mandated student information.

 

B. Ability to:

  • Independently analyze and judge information in student records as to their appropriateness for eventual disposition;
  • Recognize and read simple Spanish;
  • Work cooperatively with other members in a large department;
  • Appropriately handle information and requests as they come in from the community with regard to student record information;
  • Refer callers and community members to appropriate resources;
  • Maintain motivation and work efficiency in a repetitive work assignment;
  • Organize work time effectively during peak and slack time periods;
  • Review special education files to determine completeness of mandated information.

 

C. Education/Training/Experience:

 

High school diploma or equivalent and prior experience with student records.

A sense of humor is desirable.
