I. Title Student Data Technician II

 

II. Definition

 

Under general supervision maintains sets of District student data in one or more sections of the District data bases; uses video data input terminals, electric typewriters; maintains and monitors the sections of data, portions of which are input by other District personnel; requests appropriate extracts of data for District, State and Federal reports and analysis and provides appropriate extracts for other District personnel to use in carrying out their functions.

 

III. Examples of Duties

 

Performs a wide range of clerical and analytical tasks necessary to the operations of the assigned segments of the student base These data may include data for the student enrollment in specific District-approved secondary courses and their scheduling, the specific geographical location of each student's residential address, the enrollment of specific types of students related to special educational programs and/or District instructional projects or programs or the accurate scoring of student group test and competency tests, their reports and articulation of these records in the student data bases.

 

Typically, the data entered, monitored, and the reports requested are inter-related with data provided and maintained by other District personnel Thus, the ability to execute the duties of this position is dependent upon the person's successful interrelationships and effective communication with other persons working in the several data sets and with other processes.

 

IV. Distinguishing Characteristics

 

A Student Data Technician II works under general supervision and within a frame-work of established procedures for the student and other District data systems. The person is expected to perform a variety of duties in the assigned data base sections of monitoring, maintaining and in the input of critical data for the student systems with only occasional instruction or assistance Adequate performance at this level requires both the knowledge of District procedures, policies, and current practice along with the ability to choose among a limited number of alternatives in solving problems considering the interactions of other requirements for the data bases A Student Data Technician 11 is expected to work productively according to preestablished schedules and guidelines in the absence of specific supervision. Employees in this class will have frequent contact with school site personnel data processing personnel including system analysts, other District staff and representatives of public agencies in carrying out the monitoring and the specific data input They answer a variety of procedural questions, plan for further schedules or developmental work and train other District personnel in carrying out the technical requirements of the sections of the student data base.

 

V. Employment Standards

 

A. Knowledge of:

 

  • Office methods and data input equipment, including filing systems;
  • Effective telephone techniques;
  • Letter and report writing and ability to follow detailed specifications for data systems;
  • Monitoring and report requirements;
  • Accurate and effective English usage, vocabulary, grammar, punctuation, and spelling.

 

B. Ability to:

 

  • Learn the requirements of the sections of the student data files assigned including entry, processing, monitoring, recordkeeping and reporting procedures;
  • Perform a variety of difficult responsible technical activities in the operation of the set of assigned data files;
  • Make arithmetical calculations and simple reports;
  • Apply the approved District methods, rules, regulations, policies, and State laws in the process of effectively working with student data;
  • Understand and carry out oral and written instructions;
  • Under supervision draft, distribute, and effectuate memoranda for other personnel to use in operating assigned segments of the student data base;
  • Work cooperatively with other District employees, representatives of public agencies, and the general public;
  • Type at a speed of 45 words per minute from clear copy and operate electrostatic and other copiers, as well as data processing input terminals;
  • Train other District personnel in the operation and use of assigned parts of the student data systems.

 

C. Education/Training/Experience:

Completion of the equivalent of a California High School diploma and two years of technical, clerical experience working data systems, including at least one year of clerical experience in a high school or middle school office or its equivalent utilizing a similar data base.
