I. Title Young Mothers/Families Program Assistant

 

II. Definition

 

Under the direction of the Young Mothers/Families program Director and Program Coordinator, to perform a wide variety of complex and responsible technical and clerical tasks concerning the Young Mothers/Families Program; to coordinate program activities; and to do related work as required.

 

III. Examples of Duties

 

Develops, prepares, and maintains School Age Parenting and Infant Development budget, Single Parent and Sex Equity vocational budgets, and Connection funds; keeps accounting records for all expenditures and reviews and balances the budget monthly; maintains the files and documents and prepares reports pertinent to SAPID contract and ensures program compliance; maintains health records and requirements for infants/toddlers in Young Families Program; monitors and reviews State license rules and regulations as they relate to the California State Child Development Licensing Board; identifies the needs of the child and parent for health and social services and assists with referrals to appropriate agencies; acts as contact person for students, parents, staff, community and state consultants regarding Young Mothers/Families Program; acts as contact person with Food Services and California Office of Child Nutrition and Food Distribution, prepares reimbursement claims, and insures compliance with the National School Lunch and Breakfast Program and Meal Supplements for Pregnant and Lactating Students; enrolls new students in Young Mothers/Families Program including entrance interview; maintains attendance records and verifies sbsences and tardies; performs a wide variety of secretarial and clerical duties to support the program including preparation of requisitions, work orders, claims, timesheets and absence reports; obtains substitutes; schedules appointments and arranges meetings and conferences for program coordinator.

 

IV. Distinguishing Characteristics

The position requires an indepth knowledge of state policies, rules, and regulations of the School Age Parenting and Infant Development Program and child care state licensing regulations.

 

V. Employment Standards

 

A. Knowledge of:

  • Modern clerical and accounting office methods and practices, including effective filing systems, telephone techniques, letter and report writing, and budget management;
  • Correct English usage, spelling, grammar, punctuation;
  • Modern business methods and documents including requisitions, invoices personnel request forms, audit files;
  • Use and interpretation of common data-processing reports;
  • Ordering and maintenance of office supplies;
  • District organization, policies and rules, and SAPID procedures, rules, and regulations;
  • Common office machines including typewriter, 10 key adding machine;
  • Micro-computers and basic software applications;
  • General concepts of child growth and development and behavior characteristics;
  • Student behavior management techniques and strategies.

 

B. Ability to:

  • Relate to students, staff members, District personnel, and community groups;
  • Communicate clearly and concisely in both verbal and written form;
  • Organize and implement activities with minimal instruction;
  • Learn and interpret specific rules, regulations and policies and apply them with good judgment;
  • Perform responsible and difficult clerical work with accuracy and speed;
  • Deal effectively with a wide variety of personalities and situations requiring diplomacy, friendliness, poise, and firmness;
  • Analyze situations and adopt an effective course of action;
  • Carry out verbal and written directions independently;
  • Make arithmetical calculations quickly and accurately;
  • Type at a rate of 55 words per minute from ordinary manuscript, printed or typewritten material.

 

C.Education/Training/Experience

 

Completion of 12th grade or equivalent, and any combination of education , experience and training which meets or exceeds standards of knowledge, skills and abilities listed above. Two years of experience in areas related to the program assignment desirable.

 

D.Licenses/Certificates:

Valid California Driver's License; a reliable automobile.
